This Privacy Policy explains how we collect, use, and safeguard your data when you use our AI PDF accessibility checking and remediation service, marketing site, and related tools (collectively, the "Service").

Inkable Docs LLC operates from the United States (with a primary focus on Wyoming users) and acts as the data controller for personal data we process in connection with the Service. This Policy is written with a U.S.-first focus, but it also includes additional information for users in the European Economic Area ("EEA") and the United Kingdom ("UK").

When you create or manage an account, we may collect:

  • Email address (for account creation, login, and communication)
  • Name or display name (optional, for personalization)

  • Our intention is not to store or retain your full Documents after processing is complete, except as may be temporarily necessary for backup, security, or legal compliance.
  • We may generate and retain non-identifying or aggregated data derived from your use of the Service (for example, anonymized metrics about issues found) to improve the Service.

Usage and Analytics Data

When you interact with the Service, we may automatically collect:

  • IP address and browser information
  • Usage patterns and feature interactions
  • Error logs and performance metrics

Technical Logs

To operate and secure the Service, we may maintain server logs and diagnostic information, which can include:

  • Identifiers associated with your account or session

How We Use Your Information

We use the information described above for the following purposes:

  • Providing, operating, and maintaining the Service
  • Analyzing usage patterns to improve features and user experience
  • Communicating with you about your account, updates, and support requests
  • Ensuring the security and integrity of the Service and preventing fraud or abuse
  • Complying with legal obligations, including recordkeeping and regulatory requests

We may also use aggregated or de-identified information (that does not reasonably identify you) for research, analytics, and Service improvement.

Data Security

We implement industry-standard technical and organizational security measures to protect your data, which may include:

  • Encryption in transit and at rest
  • Regular security audits and updates
  • Limited access controls and authentication
  • Secure document processing with automatic deletion

No method of transmission over the internet or method of electronic storage is 100% secure, and we cannot guarantee absolute security.

Data Sharing and Service Providers

We do not sell, trade, or rent your personal information to third parties. We may share data only in the following limited circumstances:

  • With your explicit consent
  • To comply with legal or regulatory obligations, or valid legal requests
  • With trusted service providers who assist in operating the Service (for example, hosting, analytics, email delivery, authentication, payment processing, and AI processing), subject to appropriate confidentiality and data protection agreements
  • To protect our rights, property, or safety, or that of our users or the public

When we use third-party AI providers to assist with accessibility analysis or remediation, we share only the data necessary to provide those features and require that such providers do not use your Documents to train generalized models, to the extent we control such processing.

Your Rights

Depending on where you live, you may have certain rights regarding your personal information. Subject to applicable law, you may:

  • Access your personal data
  • Correct inaccurate or incomplete information
  • Delete your account and associated data
  • Export your data in a portable format, where feasible
  • Opt out of non-essential communications

You can exercise these rights by contacting us at support@inkabledocs.com. We may need to verify your identity before fulfilling your request and may decline requests where we are unable to authenticate you or where permitted by law.

Cookies and Tracking

We use essential cookies and similar technologies to enable core functionality (such as authentication and security). We may also use analytics cookies and similar technologies to understand how the Service is used and to improve it.

You can control cookies through your browser settings, and in some cases, through in-product preferences if made available. Disabling certain cookies may affect how the Service functions.

Data Retention

We retain personal information only as long as necessary to provide the Service, fulfill the purposes described in this Policy, and comply with legal obligations. PDF Documents are processed on a temporary basis and are not intended to be retained after checks and related processing are complete, subject to limited retention for backup, security, or legal compliance.

International Data Transfers

Your data may be processed in countries other than the one in which you reside, including the United States. Where required by law (for example, for users in the EEA or UK), we implement appropriate safeguards for international data transfers, such as standard contractual clauses or equivalent mechanisms.

Children's Privacy

Our Service is not intended for children under 13. We do not knowingly collect personal information from children under 13. If we learn that we have collected such information, we will take reasonable steps to delete it.

Additional Information for EEA and UK Users

If you are located in the EEA or UK, our processing of your personal data is subject to the EU General Data Protection Regulation ("GDPR") or UK GDPR, as applicable. We generally rely on the following legal bases to process your personal data:

  • Performance of a contract (for example, providing the Service you sign up for)
  • Our legitimate interests (for example, improving the Service, securing our systems, and preventing abuse), where those interests are not overridden by your rights
  • Compliance with legal obligations (for example, responding to lawful requests from authorities)
  • Your consent, where required (for example, for certain cookies or marketing)

In addition to the rights described above, you may have the right to object to or request restriction of certain processing, and the right to lodge a complaint with a supervisory authority in your country of residence or place of work. We encourage you to contact us first so we can address your concerns.

Changes to This Policy

We may update this Privacy Policy periodically. If we make significant changes, we will update the "Last updated" date above and may provide additional notice, such as by email or through the Service. Your continued use of the Service after the effective date of the updated Policy constitutes your acceptance of the changes.
